These terms explain how to book and travel with Isimila Tanzania Adventures Limited, P.O. Box 16448, Morombo, Arusha, Tanzania. Contact info@isimila-tanzania-adventures.com or +255 786 239 629 with any questions before confirming.

Before you book: Read these terms together with your written quote, itinerary and booking confirmation. Deposit amounts, payment deadlines and cancellation charges vary by booking. We provide the terms that apply to your trip in writing before you confirm.

1. Quotes and booking confirmation

Sending an enquiry does not make a confirmed booking. A quote sets out the proposed services, price, currency, validity period and availability. Reservations are confirmed when we issue written confirmation and receive any payment required under the agreed booking terms.

The lead traveller should check names, dates, accommodation, room arrangements, transfers, flights, special requests and inclusions, and share the relevant information with everyone in the group. Tell us promptly about errors. Ask us to resolve any inconsistency between the website and your quote before paying.

2. Prices and what is included

The written quote identifies the price basis, number of travellers, room category, meals, park fees, transfers and included activities. Website prices are a guide and may vary with dates, group size and accommodation. Optional activities, single supplements, taxes, flights and other extras are included only where expressly stated.

Accommodation names shown as alternatives are options for the same night. The final property and room category must be confirmed in your booking. We will explain any proposed change or price adjustment before you agree to it.

3. Deposits, balance and payment

There is no single deposit percentage or balance deadline for every journey. Your written quote or invoice will state the deposit, payment dates, currency, accepted payment method and any disclosed transaction charges. Some suppliers may require earlier or full payment, particularly for flights, permits or peak travel dates.

Pay only using the details on your confirmed invoice. If payment instructions change, verify the change using our established telephone number before transferring funds. Contact us immediately if you may miss a deadline; reservations may otherwise be affected under the agreed terms. Do not send card security codes by email or WhatsApp.

4. Changes and cancellations requested by you

Send requests in writing to our email address, quoting your booking reference and lead traveller’s name. Changes depend on availability and supplier conditions. Before proceeding, we will explain any additional cost, refund adjustment or cancellation charge.

Cancellation charges vary by booking. Your written terms must explain the applicable deadlines, charges and any non-refundable supplier commitments before you confirm. Do not assume that a deposit, airline ticket, park permit or unused service is refundable. Ask for clarification before paying.

Any refund will be assessed under the agreed booking terms, relevant supplier conditions and applicable law. We will explain the calculation and expected processing arrangements. Your travel insurer may have separate requirements for a cancellation claim.

5. Changes or cancellations affecting your trip

Weather, park or road closures, airline changes, safety concerns and events beyond reasonable control may affect the route or services. We will inform you as soon as reasonably possible and discuss suitable alternatives, any price difference and any refund or other remedy available under your booking terms and applicable law.

We do not promise that all disruption costs are covered. We will explain available options and any additional costs before seeking your agreement wherever circumstances allow. Nothing here removes rights or remedies that cannot lawfully be excluded.

6. AMREF Flying Doctors rescue and travel insurance

AMREF Flying Doctors emergency medical evacuation cover is included in our five advertised safari itineraries. The applicable cover must be arranged for your confirmed travel dates. Ask for your plan details and emergency instructions before departure.

Evacuation depends on the plan’s geographical coverage, eligibility and exclusions, medical assessment and AMREF’s authorization. A flight is not automatic; operational conditions and access can affect an evacuation. Contact your guide and the emergency assistance service promptly and follow their instructions.

This evacuation arrangement is not a substitute for comprehensive travel insurance. Do not assume it covers hospital bills, international repatriation, cancellation, lost belongings or every activity. Check your own policy for medical treatment, evacuation, repatriation, trip cancellation and the activities you intend to undertake, and disclose relevant pre-existing conditions to your insurer.

Any government-required inbound insurance is separate. Check the current entry requirements before travelling. See our travel-insurance guidance and AMREF’s official plan information.

7. Passports, visas, flights and arrival times

You are responsible for checking passport, visa, health and entry requirements with the relevant authorities and carriers. Requirements can change. Make sure the traveller details used for reservations match your documents. For children, check any required parental permissions.

Book flights only after confirming the itinerary and airport transfers with us. Domestic flights have their own schedules, baggage limits and ticket conditions. Allow sufficient connection time, especially when separate tickets are involved. Your confirmation will identify included flights and transfers.

8. Health, accessibility and special requirements

Tell us before booking about any requirement that could affect the suitability or delivery of your trip, including mobility needs, allergies, dietary needs or relevant medical concerns. We will discuss available arrangements, but requests are confirmed only when accepted in writing. Seek individual health advice from a qualified professional before travel.

Safaris may involve uneven roads, remote locations and time away from medical facilities. Follow your guide’s safety instructions and the rules of parks, lodges, transport operators and activity providers. Adults travelling with children remain responsible for their supervision.

9. Wildlife, seasons and optional activities

Our itineraries are available year-round with departures arranged for your dates. Wildlife sightings, migration movements, river crossings, weather and beach conditions cannot be guaranteed. Routes may be adapted to the season and current conditions.

Optional activities must be separately confirmed, with their price, eligibility and relevant conditions explained. Do not approach or feed wildlife, leave a vehicle without your guide’s permission, or disregard local safety advice. Ask permission before photographing people.

10. Suppliers and responsibility

Lodges, airlines, parks, rescue services and activity providers may apply their own operating conditions. We will identify relevant conditions before you commit where they affect your arrangements. Those conditions do not remove our responsibilities under the agreed booking or any applicable mandatory law.

Our responsibilities and any lawful limits on liability are assessed under your booking agreement and applicable law. These website terms do not exclude liability, consumer protections or remedies that cannot lawfully be excluded.

11. Assistance and complaints

If something is wrong during your journey, tell your guide or our team promptly so we have an opportunity to help. Follow up by email with your booking reference, a description of the issue and relevant supporting information. We will acknowledge your concern and explain the next steps. No short website deadline is intended to take away a statutory right.

12. Privacy and photographs

Our Privacy Policy explains how we handle traveller details, health information and emergency contacts. Share other travellers’ information only with their knowledge and the necessary authority. Permission for promotional photographs or testimonials is separate from the booking.

13. Applicable law and updates

Bookings are subject to applicable Tanzanian law and any mandatory consumer protections that apply to the traveller. Nothing here requires you to give up a right or dispute-resolution route that cannot legally be waived.

We may update these website terms for future bookings. Changes do not automatically replace the terms already agreed for an existing confirmed booking. Keep a copy of your quote, confirmation and the terms supplied when booking.
